Background: The position is a temporary, full-time opportunity to join the Burnaby Division of Family Practice in the capacity of a Primary Care Network (PCN) Medical Office Assistant (MOA). This position is an integral part of the Burnaby Primary Care Network (PCN) team. Working with, and under the supervision of the Burnaby Primary Care Network (PCN) Manager, the PCN Medical Office Assistant (MOA) will be responsible for providing day-to-day administrative and project support for Burnaby PCN programs, projects and meetings, and other duties as identified.

Job Description:

Key Responsibilities
  • Working as a member of the Burnaby Primary Care Network (PCN) team.
  • Participating in the design, prototyping, testing, improvement, and operation of processes, documentation, and tools necessary for referrals and booking of patients for PCN patient programs.
  • Scheduling and booking functions for a variety of patient appointments for designated programs within Burnaby’s PCN.
  • Processing incoming referrals and populating/updating/validating patient information.
  • Screening referrals to verify eligibility for Burnaby PCN programs.
  • Liaising with nursing and allied health providers.
  • Acting as the receptionist for Burnaby PCN programs to support the delivery of patient care and to ensure patient needs are met above all other concerns.
  • Communicating with family physicians, primary care clinics, UPCCs, local hospitals, and other health care professionals and health care organizations, as necessary.
  • Answering phone calls and checking phone messages.
  • Registering and liaising with patients referred to Burnaby PCN services.
  • Supporting patients to navigate services.
  • Maintaining medical charts in the Burnaby PCN Central Intake’s EMR.
  • Faxing, scanning, filing, copying sensitive documents.
  • Scheduling and supporting PCN leadership and task group meetings by preparing documents, reports, and presentations; recording, transcribing, and distributing meeting minutes.
  • Conducting patient registration and navigation duties at the Burnaby COVID-19 Testing Site as/when required.
  • Performing other duties, as required.


  • Completion of certificate or diploma in medical office administration, business relation or other related discipline; equivalent combination of education and experience may be considered.



  • Minimum two (2) years related experience in an executive or administrative office/role; experience in a medical office preferred.
  • Demonstrated advanced computer proficiency using MS Office application (Word, Outlook, and Excel); expertise in using an Electronic Medical Record (EMR) is an asset (e.g. Med Access EMR)
  • Experience managing client facing customer relations.
  • Knowledge and experience in health care; experience in primary care an asset.


Preferred skills
  • Previous medical office administration experience.
  • Knowledge of medical terminology.
  • Telephone etiquette, customer service, Microsoft Office, time management.
  • Experience using an Electronic Medical Record (EMR) system is an asset.
  • Comfortable to work in an ambiguous and dynamic environment.
  • Ability to speak, read and write fluently in English.
  • Clear and concise communication skills – both verbal and written.
  • Excellent interpersonal and customer service and public relations skills.
  • Demonstrated ability to meet deadlines and honour commitments.
  • Maintains confidentiality and able to handle sensitive and confidential assignments with tact and diplomacy.
  • Proven organizational and priority management skills with the ability to multi-task in a high-volume patient environment.
  • Extreme attention to detail.

Standard hours of work for this position will be 37.5 hours per week. In order to respond to business needs, the ideal candidate will be flexible to work outside of normal business hours such as mornings, evenings and weekends.
Salary: $20 to $22/hour
